Answers to the most common travel questions we receive

I just accepted an assignment. What happens next?

First of all, congratulations! Second, we understand your probably have a lot of questions about your travel schedule. When you book an assignment, your recruiter will contact you to discuss your travel preferences (e.g., morning flight, window seat, hotel options). After, s/he will send your preferences to the travel team, who will do their best to make travel and lodging reservations that align with your choices and will send you options for flights and lodging. Once you've decided, a confirmation email will be sent directly to you detailing your itinerary. If changes need to be made, contact our travel department or your recruiter directly. 

How do I check in for my flight once I've received my travel confirmation?

Once you receive your confirmed itinerary, you check in for your flight just as you would for a personal trip. Within 24 hours before takeoff, visit the airline's website and enter your flight information. Once you've checked in, you'll be able to select preferred seats and add any applicable details.

Does Barton Associates pay my baggage fees?

Yes, Barton Associates will reimburse you for any baggage fees as long a receipt is provided. You can pay for your baggage when you check in for your flight, either at the airport or online.

Can I get a hotel room with a kitchenette in it?

We will always do our best to book your preferred room type. Some hotels classify a kitchenette as a room with a wet bar, mini fridge, and microwave. Others have a full kitchen with a stove top, full-size fridge, dishwasher, and sink.

Is insurance included with my rental car?

A loss damage waiver (LDW) and comprehensive liability insurance are included with all car rentals made for locum tenens providers working assignments with Barton Associates. The locum will not be responsible for any loss or damage to the rented vehicle, including damage related to theft, collision, or vandalism. Renters are provided protection in the event of bodily damage up to a limit of $100,000 for each person, $300,000 for each accident, and $25,000 for resulting property damage.

Who do I contact if I have a travel emergency at night or on the weekend?

As part of Barton Associates's commitment to making travel easy and hassle-free, we have a 24-hour support line that can be reached at any time, day or night, to accommodate your needs. This service is available to provide assistance with existing reservations, or to book a new reservation should the need arise. Can I bring my pet/support animal with me on my assignment?

Barton Associates will do everything possible to make accommodations for our locums who like to travel with their animal companions. There are pet-friendly hotels in most areas of the country, and we will make every effort to book our locums there if such accommodations are available. It is important to note that most pet-friendly hotels charge a fee for which the locum will be held responsible. For more information about traveling with pets, read our in-depth article here.

Is my hotel reservation prepaid?

When Barton Associates makes a hotel reservation, the hotel will have the company credit card on file prior to your arrival. While Barton Associates pays for the hotel room and tax, the locum is responsible for any incidental charges incurred during their stay. For this reason, most hotels will ask for the locum's personal credit card at the time of check-in. The locum's credit card will only be charged if there are any incidental charges levied.

Can I use my rewards numbers on my trips for Barton Associates?

Unlike some other locums tenens companies, Barton Associates is more than happy to add any and all hotel or airlines rewards numbers to your reservations. Give us your credentials once, and we'll add them to your personal travel profile for future use. Some rental-car rewards programs may not be compatible with Barton's travel platform, but all other rewards programs are easy to recognize.
